Source-backed delivery pattern

One approved record. Every downstream artifact.

Proposal and SOW automation is useful when it eliminates repeated entry and coordination while preserving the commercial and delivery decisions that belong to accountable people.

AUTOMATION OWNSRoutine coordination
  • Read approved opportunity and discovery fields
  • Validate required data, policy, owner, and template
  • Populate deterministic document sections
  • Draft only approved narrative sections
  • Route review, reminders, and escalation
  • Publish approved versions and create handoff

PEOPLE OWNAuthority and exceptions
  • Pricing, discounts, margin, and commercial terms
  • Scope, assumptions, exclusions, and acceptance
  • Policy exceptions and missing information
  • Customer commitments and external release
  • Final approval, rejection, or requested correction
  • Changes to business rules and automation boundaries

Workflow anatomy

Six contracts make the automation operable.

A connector diagram is not a design. Temen defines what starts the work, which record is authoritative, which rules are deterministic, where AI may assist, who owns the decision, and what evidence operations retain.

01TRG

Trigger

Define the authenticated event, schedule, user action, or system state that is allowed to begin work.

02REC

Canonical record

Create one durable business identifier and normalized state that links every external and internal action.

03RULE

Rules

Version the deterministic policy, required fields, thresholds, routing, ownership, and exception categories.

04AI

Bounded AI

Use AI only for approved extraction, classification, summarization, or drafting with a typed output contract.

05HUM

Human authority

Pause for the person who owns pricing, scope, policy exceptions, finance release, or customer commitment.

06OPS

Operational evidence

Retain events, approvals, versions, retries, outputs, errors, recovery, service measures, and owner actions.

Live workflow example

Watch the workflow run, pause, resume, and leave evidence.

Choose a standard proposal or a discount exception. The staged runner executes every step automatically, stops at the correct business decision, and resumes only after the visible approval.

Where the pattern fits

Recurring work with rules, evidence, systems, and accountable decisions.

Temen uses the same design discipline across document, finance, sales, people, support, and governance workflows while adapting the systems, risk, approval, and operating model.

Temen delivery path

Build the smallest complete workflow before scaling the platform.

Every phase creates inspectable artifacts and ends in a customer decision. We prove the source, action, control, evidence, exception, and recovery paths together.

01
DISCOVER

Observe the real work

Walk the current process, artifacts, roles, delays, manual judgment, shadow steps, systems, volumes, exceptions, and failure recovery.

02
DESIGN

Define the operating contract

Agree the source of truth, states, rules, AI boundary, approvals, permissions, service measures, exception routes, and change ownership.

03
PROVE

Build one vertical slice

Connect the smallest useful end-to-end path with realistic test data, visible evidence, negative cases, and an operator recovery path.

04
PILOT

Run with controlled users

Validate behavior, permissions, quality, approval experience, reliability, support, licensing, capacity, and operational ownership.

05
OPERATE

Monitor and improve

Review successful and failed runs, latency, human touches, exceptions, costs, dependency changes, incidents, and approved enhancements.

Reliability and operations

A successful run is not proof of a reliable workflow.

Production automation has to survive retries, partial outages, expired connections, schema changes, slow approvals, ambiguous vendor responses, bad inputs, duplicate events, and rules that evolve after launch.

Design principle A timeout, rejection, or malformed record becomes visible work with an owner - not a silent partial success.
OPERATING CONTROL BOARDRun safety and recovery
DESIGN REVIEW

Authenticated triggers

Verify webhook signatures, caller identity, replay windows, schema, and tenant or customer scope before accepting work.

Idempotent writes

Use stable business and attempt identifiers so retries cannot create duplicate invoices, documents, orders, or notifications.

Bounded retry

Retry transient failures with backoff and limits; verify ambiguous outcomes before repeating a consequential action.

Exception queues

Separate policy exceptions, bad inputs, dependency failures, timeouts, and rejected approvals with an owner and review deadline.

Reconciliation

Compare the workflow state with authoritative external systems and surface missing, stale, or conflicting records.

Change and recovery

Version rules and templates, test changes, preserve rollback, provide safe replay, and record every operator action.

Representative workflow patterns

Automate coordination while preserving accountable judgment.

These examples are based on Temen’s documented sales-operations, delivery-automation, and Microsoft workflow patterns. They show designed outcomes and boundaries - not invented customer metrics.

01Document workflow

Reduce repeated proposal preparation without inventing commercial authority.

Starting situation

Opportunity details, discovery notes, scope, pricing, templates, approvals, documents, and delivery handoff were repeated across tools while exceptions still required sales and delivery judgment.

Temen design

Temen separates authoritative fields from bounded narrative, maps template versions and approval policy, creates a durable run record, and routes the package through AE and delivery checkpoints.

Authority boundary

Automation may populate, draft, route, publish, and notify. People retain pricing, discount, scope, exclusions, terms, final approval, and external commitment.

02Sales operations

Unify quote, invoice, payment, procurement, and fulfillment around one order.

Starting situation

Shopify purchases and accepted quotes could enter different systems while finance, distributors, accounting, tracking, and customer communication still needed one operational view.

Temen design

Temen’s documented pattern uses a canonical order, authenticated and idempotent events, finance gates, payment evidence, policy-based routing, durable vendor attempts, tracking, and an exception queue.

Authority boundary

The platform coordinates routine work. Finance, sales, and operations own tax, terms, margin exceptions, ambiguous procurement outcomes, and customer-impacting decisions.

03Employee operations

Coordinate a remote hire without hiding access and readiness decisions.

Starting situation

HR, the manager, IT, security, learning, equipment, and identity each owned part of the onboarding path, but completion and exceptions were hard to see together.

Temen design

Temen maps the approved hire record into sequenced identity, device, learning, communication, and manager tasks with dependencies, due dates, reminders, and completion evidence.

Authority boundary

Automation coordinates approved actions. HR owns employee data and policy decisions; IT and security own privileged access and exceptions; the manager confirms readiness.

Customer handoff

The workflow is documented as a service, not left as a mystery flow.

Temen leaves behind the business definition, technical design, operating controls, test evidence, support path, and change backlog required to own the workflow after launch.
